Not sure where you would like to start? Then this service is for you. You can meet with us to discuss your wedding details regardless how many or how little details you may have. At this meeting we will go through your ideas, plan and expectations and work with you to figure out what role Tonya Jaggassar Events can play in your wedding planning process. We can do just décor or rentals for you, or maybe even plan your wedding from start to finish or just provide the extra support by coordinating that special day! After this service you will be able to decide which services are a right fit for you.

Wedding Consultations

If you have decided to plan your own wedding but would like to benefit from our experience and vendor relationships then this unique service is you. This consultation usually runs for approx. two (2) to and can take place either in our showroom or at the contracted venue. During this extensive consultation we cover every aspect of your wedding. After this, we will produce a personalized, detailed planning guide* which will enable you to confidently hold the reins and alleviate any stress that you may have and help you avoid common, costly mistakes.

Based on your needs in each category, we will:

  • Outline options
  • Estimate costs
  • Recommend vendors (up to three vendors per category)
  • Highlight issues and considerations specific to your wedding

*Your custom guide will be sent to you via email approximately two weeks after the consultation.

Wedding Planning & Coordination

Tonya Jaggassar Events will provide every necessary ingredient for a flawless event with this service. We believe in asking the right questions and taking the time to understand your Dreams and expectations before we begin to customize your special event. We make certain that each and every element comes together in harmony, ensuring an effortless, stress free planning process and smooth wedding day for you.

All-Inclusive Wedding Planning & Coordination Services:

  • Initial meet and greet consultation of up to three (3) hours
  • Unlimited consultation via telephone and e-mail. This service starts from the date our services   are retained and continues throughout the wedding planning process up until your Wedding Day
  • Monthly consultation meetings
  • Ceremony and reception consultation
  • Up to ten (3) site visits at selected venue with you to discuss set-up, floor plan and layout
  • One (1) site visit at selected venue with all vendors to further discuss design, set-up, floor plan layout, etc.
  • Detailed timeline, production schedule, layout and seating plan provided to client one (1) week before the wedding
  • Concept, Event Design/Décor and Execution for Décor, rentals, stationery, cake and much more
  • Design layout, event overview and color story for the event
  • (1) Digital layout and seating plan
  • Schedule and attend all vendor appointments
  • Provide a vendor referral List (up to three (3) names per category)
  • Review all vendor contracts and negotiate prices before booking services
  • Prepare and manage budget including tracking of payments and due dates
  • Provide clients with checklists and guidelines
  • Contact and confirm with all vendors their set up, breakdown and contracted services
  • Create entire Wedding Day timeline and email to vendors at least one week prior to the wedding
  • Rehearsal coordination and instructions (maximum of one 1 hour)
  • This package also includes all services in the ‘Wedding Day of Coordination Package’
  • One (1) Supervisor and One (1) Assistant “Day of Wedding” Coordinator included
  • This does not include the cost of décor, Stationery, Linens, Flowers etc. or vendor services
  • Every wedding includes (1) Event Planner and at least (1) additional Assistant for the Wedding Day
  • If ushers are required for arranged seating there will be an additional fee 
  • From supervision of setup through tear down, Tonya Jaggassar Events is onsite for your wedding (approx. twelve (12) hours)
  • Travel fees and expenses will apply for selected venues outside of Trinidad these costs will be discussed and applied accordingly

*Pricing of Wedding Planning packages are based on a percentage fee structure

Wedding Day Of Coordination

Day of Coordination was created for the bride who has already planned their entire event but are still looking for peace of mind on that big day. Having a ‘Day of Coordinator’ means that you, your family and friends can enjoy the celebration without worrying about all the behind the scenes details of running your event. Approximately two (2) weeks prior to your celebration, we will meet at your venue to become familiar with your plans, visions and vendors. On your big day we are the first to arrive and the last to leave!

This services includes:

  • Initial Meet and greet consultation up to three (3) hours
  • Two (2) face to face meetings of up to two (2) hours each
  • Unlimited consultation via telephone and e-mail. This service starts from the date our services are retained and continues throughout the wedding planning process up to your Wedding Day
  • (1) A site visit at the selected venue with all vendors to further discuss design, set-up, floor plan layout and flow of the overall event
  • Twelve (12) hours of coordination
  • Assistance with floor plan / layout / flow of the day’s proceedings
  • Review all vendor contracts
  • Liaise with and re-confirm all vendors
  • Create entire Wedding Day timeline and email to vendors at least one week prior to the wedding
  • Receive all deliveries, greet and supervise all vendors as they load in and set up, etc.
  • Onsite coordination and management of the entire wedding day including; Ceremony and reception set-up, orchestrating your grand entrance, speeches, cake cutting, first dance, bouquet and garter toss with entertainment / DJ (this also includes counting bar stock before the bar opens and at the end of the night)
  • Ensure proper placement of the guest’s assigned seating place cards, guest books, pens, photographs, candles, wedding favors, ceremony programs, menu cards–per your exact instruction
  • Distribute all final payments and gratuities
  • At the end of the night, we make sure your gifts, toasting glasses, sign in book or picture, cake etc. are packed up and the last guests have left. So you can relax and enjoy your special day!
  • Every wedding includes one (1) Event Planner and one (1) Additional Assistant for the Wedding Day
  • If ushers are required for arranged seating there will be an additional fee
  • Travel fees and expenses will apply for selected venues outside of Trinidad these costs will be discussed and applied accordingly

A La Carte Wedding Services

Tonya Jaggassar events will work with you to determine exactly what we can do for you. These optional A La Carte services are for clients who have already done some of the legwork (i.e. have their own florist or caterer) but may need help with décor or other details. We can help you to fill in the blanks!

You can choose any one of the following services:

  • Additional personalized face to face consultations can be added and will be billed at an hourly rate
  • Wedding Day coordination exceeding contracted hours can be added and will be billed at an hourly rate
  • Additional assistant “Day of Wedding” coordinators are required for select venues, larger weddings and multiple location weddings and will be billed accordingly
  • Ushers may be required for weddings with seating arrangements
  • Digital floor plans and seating charts
  • Event styling, design, concept and execution
  • Vendor recommendations
  • Vendor appointment attendance
  • Coordination of:
  • Engagement parties
  • Bridal showers
  • Brunches
  • Rehearsal dinner
  • Bachelor / Bachelorette parties
  • Baby showers
  • Arrange and coordinate wedding weekend activities and special events for out of town guests
  • Distribution of welcome packages for guests
  • Guest accommodation arrangements
  • Receive RSVP’s and make follow up calls for guest attendance
  • Multiple day cultural wedding events exceeding contractual agreement
  • Design of custom monograms or artwork for Invitations and other stationery

*A La Carte services can be purchased on their own or along with any of our other Wedding Services.
